01 · Automation

Business process automation that follows how your team actually works

We map the process as it happens today (every handoff, reminder and copy-paste) and then automate the parts that are repetitive and rule-based. People keep the decisions; the system does the chasing.

§ 01Is this you?

You're likely in the right place if…

  • 01Work waits in someone's inbox until they notice it.
  • 02Customers ask for status updates because nobody sends them.
  • 03Invoices, reminders and follow-ups go out late or not at all.
  • 04You pay for several SaaS tools that don't talk to each other.

Sound familiar? Tell us which one on WhatsApp (opens in a new tab) and we'll suggest where to start.

§ 02Deliverables

What we build

  1. 01

    Intake to assignment

Enquiries and orders captured from forms, email or WhatsApp, logged, assigned and acknowledged automatically.

  2. 02

    Approvals

Structured approval steps with notifications, escalation after a deadline and a record of who approved what.

  3. 03

    Reminders and deadlines

Due-date tracking with reminders to staff and clients, suppressed when work is already waiting on someone else.

  4. 04

    Billing flows

Invoice generation, payment tracking and overdue reminders tied to the work that was delivered.

  5. 05

    Cross-tool sync

Keep CRM, spreadsheets, accounting and messaging in step without manual re-entry.

§ 03Approach

How we build it

  1. Map before automating

A short written process map comes first. Automating a broken process just makes it break faster.

  2. Tool-neutral

We use Apps Script, n8n, Make or Zapier where they fit, and custom code when volume, cost or logic calls for it. We'll explain the trade-off.

  3. Human override

Every automated step can be paused, retried or handled manually, and every action is logged.

Typical stack

  • Google Apps Script
  • n8n
  • Make
  • Zapier
  • Node.js
  • Supabase
  • WhatsApp Business API
  • Gmail API

§ 05FAQ

Questions about workflow automation

01Zapier, Make, n8n or custom code?

Low-volume, simple flows are often cheapest on Zapier or Make. n8n suits higher volumes and self-hosting. Custom code wins when logic is complex or per-task pricing gets expensive. We recommend based on your volumes, not a preference.

02What happens when an automation fails?

Failures are caught and reported to a named person with enough context to act, and the step can be retried. Nothing fails silently.

03Which processes are worth automating first?

The ones that repeat often, follow clear rules and cause problems when they're late: intake, reminders, status updates, invoicing and reporting are the usual candidates. We rank them with you before quoting.

04Can you automate WhatsApp messages?

Yes, through the official WhatsApp Business Platform: confirmations, reminders and status updates sent from templates you approve. We don't use unofficial tools that risk your number being banned.

05Will staff still be in control?

Yes. Approvals and judgement calls stay with people. Every automated step is logged and can be paused, retried or handled manually.

06Do we need to replace our current software?

Usually not. Most automation connects the tools you already use. We only suggest replacing something if it's the bottleneck and explain why.

07How is the price decided?

After a short study of your process we send a written scope with fixed deliverables, timeline and price. Nothing is charged before you approve it; payment is typically 50% to start and 50% on delivery.

08Who owns the work when it's finished?

You do. Code, accounts and documentation are handed over in your name once the project is paid.
